What's changed?

On the 25th May 2018, the European Data Protection law changed which means organisations that use personal information will have to provide more information about the way your data is used. In light of this, we have taken the opportunity to update our Privacy Policy to ensure our customers are aware of the way we protect their personal information.

We have tried to ensure that we have explained it in a clear and simple way, but if you require more information about the new data protection regulation, you are able to contact the Information Commissioners Office (ICO) The ICO are a UK based independent body who have been introduced to uphold information rights, you can find out more information on their website: www.ico.org.uk.

This privacy policy is intended to inform you how we gather, define, and use your personal information. Please take a few moments to read and understand the policy.

We are committed to protecting the privacy of our customers. We believe that your personal information should be handled with the respect it deserves. We promise to ensure your details are kept safe and are never sold to any third parties. We will be clear and open with you about why we collect your personal information, why we use it and how long we keep it for. We will explain your choices and rights and respect your wishes.  

Who's in control of your information?

You are! Our Privacy Policy outlines how we handle your personal data and what we do to ensure it is kept as safe as possible.

Why does Incident Management Solutions need my information?

We use your personal information to provide our service, for example; in order to handle your claim we may have to pass some of your details onto companies already involved within your claim to obtain updates and ensure your claim is progressing. In all cases we must have a reason and a legal ground for processing your personal information.

​Where do we receive your information from?

We receive your personal information from our instructing client. We only receive information that we require in order to progress your claim. Nothing more nothing less.

What information does Incident Management Solutions use?

We receive and process the following items of personal information that are essential for us in order to provide our service:

  • Your full name
  • Your address
  • Telephone number(s)
  • Email address
  • Vehicle registration number

In some cases, we are required to obtain bank details from you in the event that your vehicle is deemed Beyond Economical Repair, when this is required a member of the team will contact you to discuss this further.

How long do we keep your personal information?

We hold on to your personal information for 6 years. Rest assured we always store your data securely and never use it for any other purpose. In most circumstances we will anonymise your personal data so that it can no longer be associated with you, in which case we may use such information without further notice to you.

Do you share my personal information?

We do not pass your personal information to anyone else apart from companies already involved in your claim that provide their services in order to facilitate the assessment/repair process of your vehicle.

Staying in control of your information: Your rights

Here at Incident Management Solutions we want to make it as easy as possible for you to change and update your details because we understand that your personal data is YOURS. Please let us know if any of your details change, or if you notice any errors in the information we have on you so we can correct them immediately.

Your right of access:

If you wish to obtain a copy of the information Incident Management Solutions holds on you, please email us at GDPR@imsolutionslimited.co.uk quoting your claim reference number or vehicle registration number in the subject heading.  If we are the data controller, we will respond to the request within one month of receiving it.  If the request is deemed a complex request, we will write to explain why there is a delay and when you can expect to receive a response.  In cases where we are not deemed to be the data controller, you will need to contact them directly to obtain a copy of the information.

Your right to request deletion:

While you remain a customer, we’ll process and retain your personal information as described in this Policy. Once you cease to be a customer we’ll hold your information as described in the data retention section of this policy. You do have a right to request that Incident Management Solutions deletes any personal information we hold. However, if we handled your repairs, we would also handle the warranty you received and therefore we would be unable to assist you with any future warranty claims. Please either write to us or email us at: GDPR@imsolutionslimited.co.uk to request your data to be deleted.

Your right to object:

You have the right to object to us processing your personal information where our processing is based on legitimate interest. You also have a right to request that we stop any activities that involve us processing your personal data. However, these requests will have an impact on our ability to provide our service.

Your right to complain:

In the unlikely event that you feel that we have handled your personal information inappropriately or we have not exercised any of your rights, you have the right to complain to the Information Commissioner either via email: casework@ico.org.uk or write to them: Information Commissioner’s Office, Wycliffe House Water Lane, Wilmslow, Cheshire, SK9 5AF

Incident Management Solutions updated our Privacy Policy in March 2020. We review our Privacy Policy regularly so we would recommend coming back to review this from time to time.
